Prospective Students

Inquiries
  • Develop, implement, and recommend changes in the university’s plan to respond to inquiries from prospective students regarding the university’s Great Plains IDEA academic programs.
Recruitment
  • Develop, implement, and recommend changes in the university’s plan to recruit prospective students, i.e., brochures, email messages, phone calls, and newsletters.
Admissions
  • Assist prospective students seeking admission to a Great Plains IDEA program.
  • Refer students to other Great Plains IDEA universities as appropriate.
Data Collection
  • Maintain a database of prospective student inquiries, university contacts with prospective students, and receipt of admission application materials.

Admitted Students

New Student Survey
  • Email newly admitted students the URL for the new student survey each semester. Check the box in ExpanSIS that indicates the student was sent the survey URL.
Basic Advising and Referral
  • Help students navigate through a distance education academic program.
  • Answer questions or refer students to appropriate parties.
  • Inform students regarding graduate policies and forms, i.e. program of study and degree completion forms.
  • Monitor and respond to student chat boards.
Program Course Schedule
  • Assist students in developing a course schedule to complete their academic degree program.
Student Acknowledgement Form
  • Send and receive the form allowing the university to share student information with the other Great Plains IDEA institutions. Check the box in ExpanSIS that indicates the form has been received from the student.
Enrollment
  • Inform students when it is time to register for courses according to the Great Plains IDEA calendar.
Technical Assistance
  • Assist students with referrals to technical help desks. Answer basic questions.
Practicum Coordinator
  • Assist in the development of practicum sites and monitor student practicum experience. Other practicum responsibilities may be identified.
Data Collection
  • Enter student admissions and enrollment data into ExpanSIS.

Graduates

Exit Survey
  • Email students who have completed their program the URL for the new student survey each semester. Check the box in ExpanSIS that indicates the student was sent the survey URL.
Alumni Survey
  • Send survey as appropriate.

Course Management

Anticipated Course Enrollments
  • Provide information to teaching institution(s) based upon student program course plans.
Enrollment
  • When your institution is teaching the course, check your class roster in ExpanSIS and Add students from other institutions into your institution’s course management system.
  • When another institution is teaching the course, enroll your students in the course through ExpanSIS.
Grades
  • When your institution is teaching the course, enter grades into ExpanSIS.
  • When another institution is teaching the course, look up your students' grades in ExpanSIS and record their grades at your institution according to your institutional process.
Fund Transfer
  • When your institution is teaching the course, verify enrollment numbers from each of the other Great Plains IDEA institutions and send them invoices.
  • When another institution is teaching the course, verify the accuracy of the invoices you receive and process them for payment.
  • Verify the accuracy of the invoice you receive from the Great Plains IDEA lead institution each semester and process it for payment.
Accounting
  • Monitor revenue, expenses and budget for each Great Plains IDEA program and coordinate accounting functions with the appropriate university units.

Faculty

  • Refer appropriate academic and advising questions to faculty members.
Inform
  • Provide faculty members with information and documents concerning admissions, courses and students.
Request
  • Course information, i.e. text book information and grades.

Collaborate
  • Work with appropriate university administrators, i.e. graduate school, continuing education, registrar’s office, information systems office, computing center, college-level administrators, department head/chair, etc. to implement Great Plains IDEA academic programs and resolve problems.
